This web page offers an online electronic registration form for an HMGU organized event. Upon successful completion of your registration, you consent to the collection of your personal data that will be further processed for the purposes detailed below.
As this online service collects and processes personal data, the Data Privacy Statement outlined on the website applies to technical information.
This privacy statement is explicitly for the use of the current event.
- Why do we collect data and further process the data?
We need to process the data of participants for efficient organization and management of the event. This includes but is not limited to:
- managing participant lists and contact details (including the use of conference ID numbers)
- permitting entrance to the event
- preparing food dietary requirements
- collecting abstract submissions
- issuing name tags
Photos, videos and audio recordings may be taken during the event for reports, news and publications.
- What personal data does the HMGU collect?
Only the following data will be collected for registration purposes: title, family name, first name, name of the organization, e-mail address, postal address and the country where the organization or individual is established, profession/position, phone number and fax number.
You may receive a Guest User Account for the internet, which is analog to the personal data provided during registration. In such a case, the Guest User information and the internet navigation logs are both collected by the HMGU. The identification of the user connected to a log entry may only be provided based on the affected persons right to information, a disciplinary action by the HMGU or upon a legally binding request by a judicial or a law-enforcement authority.
In order to access the location of the event, we will need to inform the security guards and/or responsible staff to prepare entrance permissions. A passport or identity card may be required to verify the identity of the visitor.
Participants at the Hackathon may be given the opportunity to indicate individual requirements, e.g. those pertaining to diet or mobility. This information will be processed only to ensure that these requirements are taken into account and will not be used or stored beyond that single event.
Photographs, audio and video recording of speakers and participants at this event may be taken. They may be reproduced in various media outlets including HMGU publications, the HMGU website, social networks, and/or the press, in connection with the event, or for further cultural and institutional purposes as well as for promotional activities of the HMGU. However, a photograph portraying a particular individual may be published only with the explicit consent of that individual.
If you do not consent to your image or voice being recorded and/or published, please contact the conference organizers who will accommodate your needs, as far as possible.
- Who collects and has access to your personal data?
Personal data may only be collected by the HMGU services and units involved in the organization of the conference. Personal data may also be collected by the HMGU if you sign-up for a Guest User account.
The list of speakers (title, last name, first name, organization/company, country) may be published on the website of the event by the organizers. A more detailed list of participants with their contact details may be distributed to all participants, by email or in a program, with a view to facilitating future contacts by the organizers. At some events, the organizers may use name-tags for identification purposes. Should you prefer to omit your name from such lists, you have the possibility to object (opt-out from) to any such dissemination of your contact details by notifying the event organizer at the contact address mentioned below.
The HMGU Communications department or any other employed service by the event organizer for this event may collect photographs, audio and video recordings.
Guest account details are accessible to the Hackathon organizer and to the IT-Service for technical support and IT-Security.
- How do we protect and safeguard your information?
All personal data is processed internally by HMGU staff members or agents and stored on servers in accordance with the HMGU data protection and information security rules and standards.
In case an external contractor assists in the organization of the event, the collected personal data and all information related to the event is stored on a computer of the external processor, acting as processor, who has to guarantee the data protection, security and confidentiality required by HMGU in accordance with the General Data Protection Regulation (GDPR).
Participants' data may be shared with service providers and/or external contractors and organizers only for institutional purposes pertaining to the organization of the event and provided they have in place comparable safeguards for the protection of privacy.
- When is your personal data deleted?
All personal data provided is deleted as soon as it is no longer necessary for the purpose it was originally collected and processed for.
- Right to erasure
We have processes in place to ensure that we respond to a request for erasure without undue delay and within one month of receipt.
